Trostie – Your Trusted Postie

Last updated: 02-08-2026

1. Who we are

Trostie is an online service that helps people track parcels as they travel through a trusted network of friends, family and other contacts.

Website: https://trostie.org

For questions about privacy or personal data, contact us using the Contact Us page on this site

2. Information we collect

When you register for a Trostie account, we collect your first name, last name, email address and account credentials. You may also provide a town or city and telephone number.

When a parcel is created, we record information provided by the sender, including:

  • The sender’s name and town or city, and an optional telephone number.
  • The recipient’s name and destination town or city, and an optional telephone number.
  • A parcel reference, description and optional photograph.
  • Information needed to generate tracking and delivery-confirmation codes.

When somebody updates a parcel’s journey, we may record their name, the name of the person receiving the parcel, the time of the update, a town or location, and any optional photograph, message or email address they provide.

If a person chooses to share their browser location, we may also record geographical coordinates.

We may receive information about people who do not have Trostie accounts, including parcel recipients and people involved in handovers.

We also process limited technical information, such as IP addresses, to support website security, troubleshoot problems and reduce misuse.

3. How we use your information

We use personal information to:

  • Create and manage member accounts.
  • Generate parcel labels and tracking references.
  • Record and display parcel journeys.
  • Allow people to report handovers and confirm deliveries.
  • Help people contact parcel senders.
  • Maintain website security and prevent misuse.
  • Provide optional community statistics and leaderboards where members choose to participate.

Our proposed lawful bases under UK data protection law include the performance of a contract for member account services, legitimate interests in operating and securing parcel tracking, and consent where required for optional features.

4. Who can see your information?

Trostie is designed to keep member account information private.

Members’ profiles are not intended to be publicly searchable or available through a public member directory.

However, anyone who possesses a valid outside parcel QR code or tracking link can access limited information about that parcel.

Currently, this may include the parcel reference, recipient’s name, destination town or city, parcel photograph, and a limited history of journey updates and approximate locations.

The registered sender can access additional information relating to their parcel, including names and other details submitted during handovers.

Private contact details are not intentionally displayed on the public parcel-tracking page.

A parcel-tracking link may be copied or shared, so possession of the link does not prove that someone is involved in the parcel’s journey.

Photographs uploaded to Trostie may also be accessible through their underlying Media Library URLs, although we do our best to avoid this possibility with our security measures. Please avoid uploading photographs containing private addresses, documents or other sensitive information.

5. Location information

Sharing browser location is optional.

If you choose to share your location, your browser will ask permission before providing it.

You can decline location access and still submit a parcel update.

We do not display precise GPS coordinates in the ordinary public tracking history. The sender may have access to the location information associated with their parcel.

6. Cookies and remembered information

Trostie uses several systems, which may set cookies necessary for account login, security and website operation. We do not use any third party analytics or services that need to store information about you.

If you choose to remember your name on a device while updating a parcel, Trostie may store it locally in your browser to make future updates easier.

You can remove this information by disabling the option or clearing your browser’s website data.

7. Sharing information with service providers

Trostie uses various systems and website hosting services to operate the platform. Other providers may be involved in website security, backups or email delivery.

We do not sell members’ personal information or operate a public member directory and NEVER WILL, thank you.

8. How long we retain information

We aim to keep personal information only for as long as necessary to provide the service, maintain security and meet applicable legal obligations.

Our retention periods are:

  • Member account information: until you delete it or this service ends its life.
  • Active parcel information: history retained while active. Parcels that are active for more then 6 months are flagged and usually get resolved or archived.
  • Completed parcel histories and photographs: Retained until manually cleaned or archived, for now.
  • Security records and backups: Security records kept forever, backups for 4 weeks.

9. Your rights

Depending on the circumstances, you may have the right to:

  • Request access to personal information we hold about you.
  • Ask us to correct inaccurate information.
  • Request deletion of personal information.
  • Restrict or object to certain processing.
  • Request a copy of your information in a portable format where applicable.
  • Withdraw consent where processing relies on consent.

You have the right to object to processing based on legitimate interests, subject to applicable legal conditions.

Members can update their account details through the website.

If your personal information appears in a parcel journey, including where somebody else entered it, you can contact us to request a review, correction or deletion.

Some requests may require manual review, particularly where other people’s parcel histories are involved.

You can contact us using our Contact Us page on this site.

You also have the right to complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/.

10. Changes to this policy

We may update this policy when our services, technical systems or legal obligations change.

Any changes will be published on this page with a revised date.
